After I do the 'hire' function in JobScore I mark the notes as private, but as the Admin for my company I'd like to personally still be able to refer to them. It doesn't let me 'unlock' the notes after doing this either - so if you were to accidentally hit the 'private' button, you can't 'unprivate' the notes.  Help!

    Hi Aimee,

thanks for this.  a couple of things:

    1. When would you need to review notes about a candidate after someone is hired.  We put in this (very strong) control after many, many customers asked us to put in these restrictions

    2. If you do need to get at the notes, the person who originally wrote the note can still read it (as is the case with all private notes) - they just can't be reviewed by any other users.  FYI, the user who created the note can still go in after the hire, edit the note and make it public by "unchecking" the private box - you just can't do this to other people's notes.

    3. I've captured this request to try to make sure we accomodate it as we update our roles and permissions capaibilities (i.e. sounds like you'd like a "super user" type who can even read other people's private notes?

    Hi there,

    1) Internal applicants who apply for jobs - I want to be able to see interview notes that have already been done.  As I manage the JobScore account and all processes, I think it's fair to expect to still be able to access all notes.  Also, if someone leaves the company, that would mean their notes could never be accessed?

    2) When a job is still open, as the Admin I have the ability to edit anyone's notes, not just my own.  It's only when they're hired that suddenly I don't have this capability.  The ability for the Admin to customize the controls is something I think is important so it's not all or nothing based on what other customers deem important.

    3) My understanding is the Admin role means they have access to everything in JobScore.  That's what I'd be expecting to have as the Recruiting Manager.  Another reason this is important is for the ability to audit our files and ensure my users are entering notes that are appropriate and not commenting on non-job-related topics during the interviews they are doing with our candidates.  Taking away the ability for the Admin to see the notes adds the element of not being able to manage risk - there should always be someone at our company who can access all notes.  It'd be like saying after we hired someone, the personnel file was no longer available...

Hi there - Need to add a related request.  We have notes on candidates written by people who no longer work here that are locked.  I need to be able to unlock notes as the Admin of anyone - we are hiring positions we hadn't hired for since before I got here, and this inability to unlock notes is preventing me from seeing the interviewer notes which includes documentation on the types of prescreen questions that were asked, etc., information I cannot obtain anywhere else.  HELP!

I agree. There needs to be a "super admin" who can access anything, any time, regardless of who wrote it. I have files with private notes written by managers who no longer work for us. Since we document everything with Notes, this is a major frustration. In several cases, I have had to bother the president of our company for Notes he marked private. Not good.

Agreed - this ability, as well stated by previous users, is not only a convenient tool, it's also a necessary one.

We added a role for 1 person in your company to have the ability to view all private notes.  We are expanding this into an "owner" role where you'll be able to extend this privilege to other users in your company.  Contact support@jobscore.com if you need access to this right now.
