What are Job Fields?

Jobs in JobScore are comprised of customizable attributes called job fields. Each job includes fields like a job title, a department, and a location.  There are 3 different types of customizable job fields:

DESCRIPTION

Job attributes that are shown to job seekers when you publish a job.  Examples include the job title, job description, and more.

COMPENSATION

Job attributes that define how much you would like to pay a candidate.  Compensation fields are defined in ranges, e.g. you want to pay between $80,000 and $100,000 per year.

JOB DETAILS

Job attributes used to meet business needs.  Details are custom fields with custom answers (e.g. a “Priority” field with three choices: “High, Medium and Low”).  There are 4 types of custom job detail fields: text, checkbox, multiple choice and currency.

Each job field has 5 attributes that determine how it works in JobScore:

ORDER

Controls the sequence fields will appear in the add/edit job forms and reports.

CONFIDENTIAL

Controls whether anyone or only users on the job's confidential access list can see a field.

REQUIRED

Controls if a field must be filled in when you add or edit a job.

TRIGGERS APPROVAL

Controls whether you must get a job re-approved to make a change.

INCLUDE IN FEED

Controls whether a field can be shown to job candidates using the job feed api

You can't change every attribute for every job field.  For instance, the job title field can't be reordered, is never confidential, is required for all jobs, and is always included in the feed.  You can, however, change whether to trigger approval for job title changes.  All fields with attributes that can be changed are shown on the  job fields page in the administrative console:

Job fields with no customizable attributes are not listed on the job fields page.  Job details appear in their own area of the Add/Edit Job page and in the summary area of the View Job page:

Job Fields, Approvals and Offer Pre-Approval

The JobScore Enterprise plan includes a powerful feature called approvals.  There are two types of approvals: job approvals and offer approvals.  Job fields work with approvals in two important ways:

  • The "triggers approval" attribute controls if a job field can be edited after a job is approved.  A good example would be the compensation amount field.  For example, if a compensation range of $80,000 to $100,000 is approved for a job, and triggers approval is turned on, if a user tries to edit the job and change the compensation range to $100,000 to $120,000 it would "trigger approval" and require that the job be re-approved by everyone on the approval chain.  If a field has "triggers approval" turned on, you can't just edit it on an open and approved job - you'll need to get the changed approved first.
  • The "offer pre-approval" control of offer approval chains is also powered by job fields.  When you turn on offer pre-approval for an approval step that means that if an offer's terms are within pre-approved ranges, the approval step will be skipped.  So, for example, if a job has a pre-approved compensation range of $80,000 to $100,000 per year, and you request approval for an offer of $90,000 per year with a step that has offer pre-approval, the step will be skipped.  As you might imagine, Controllers & CFOs love this feature because if an offer is within a pre-approved range they will not be troubled by approval requests that will be an automatic "yes" based on the financial plan.

Job Details, Reporting and Exports

Custom job fields are most frequently used to address reporting and reconciliation needs, helping to eliminate hours spent manually updating spreadsheets.  

Custom job fields make it easy to store information from other departments  in JobScore.  This often includes information from HRIS & financial systems like job IDs, budget owners and more.

Storing this information in JobScore makes weekly, monthly and quarterly reporting as easy as clicking the “download” button on the Job Manager, Approvals ReportHire Report, Pipeline Report or Activity Report pages, there’s no need to lookup data from other systems and manually update spreadsheetd. An additional column is added to each downloaded spreadsheet for each job field:

Job fields in the export are displayed in the same order they are shown on the Admin > Job Fields page, where you can drag and drop to reorder them.

Job Fields and your Careers Site

Job fields can also be used to customize the information shown on your careers site. For instance, if you’d like to show “Fun Factor” in addition to a location and a department for each of the jobs on your careers site, you can do that by creating a Job Field.

When you select yes for “include in feeds” the job field label and answer will be included in the Job Feed API for your account, so your developer can display this value for every job in your careers site.

Job Fields and the JobScore Hire API
